Privacy Policy - Meeting Translator
Meeting Translator ("the extension") is published by Pen8 ("we"). It captures audio from a browser tab you select, transcribes it, and translates the result. It also offers an optional Instant lookup feature that translates text on the page you are reading. This policy explains exactly what data both of those involve.
What we collect
Account data. You sign in with your Pen8 account. The extension never sees your password: Pen8 signs you in on its own page and hands the extension a token for this browser only. Your account, email address and credit balance are held by Pen8 under Pen8's privacy policy. Our server does not keep a copy of your account; the only thing it stores is which paid session is open and until when.
Usage metering. Your credit is charged in blocks of a few minutes for the time the translator is running, from Start to Stop. We record the session and the time it is paid through. We do not store what was said.
Audio and transcripts. Audio from the tab you choose is sent to our server for transcription and immediately discarded after the text is produced. We do not retain audio recordings.
Page text, only while Instant lookup is on. Instant lookup is switched on by default: "Look up on selection" and "Translate on hover" are both on until you turn them off in the extension's Options page. Nothing on any page is read or sent after you have turned both off.
While it is on, and only at the moment you select text or point at it, the extension reads the word, sentence or paragraph under your cursor - or the text you selected - and sends that fragment to a translation service so it can be translated. It does not read the rest of the page. Pointing at a form field does not read what is typed in it; selecting text you typed yourself and then releasing the mouse does send that selection, the same as any other selection, so avoid selecting sensitive input while the feature is on.
One related option is off by default and has no switch on the Options page yet: a lookup history (the text and its translation, the last twenty) can be kept in the browser's local extension storage. It never leaves your device.
What we do not collect
We do not collect your browsing history, your microphone, or any analytics or advertising identifiers. Our server reads your IP address only to limit how often sign-in can be attempted from one connection; it is used during that request and not stored. The extension has no third-party trackers. We do not collect the contents of tabs you have not selected for capture, and - apart from the fragment described above while Instant lookup is switched on - we do not collect the contents of the pages you visit.
We do not receive the text at all when Instant lookup uses its default engine. In that mode the fragment goes from your browser straight to the translation provider; it does not pass through our servers and we never see it.

Cloudflare and Google Gemini process transcript data as our service providers under their own terms.
Instant lookup is different, and the difference matters. The fragment you point at is sent by your own browser directly to Google Translate or Microsoft Bing Translator. Those companies are not acting as our service providers for this: they receive the text under their own privacy policies, over which we have no control, and we are not party to the exchange.

If you would rather no page text left your browser for a third party, switch Instant lookup off. It is on unless you turn it off.
What stays on your computer
Transcripts, sessions and any context files you load are stored in your browser's local storage on this computer. They are never uploaded to us. They are deleted automatically 30 days after they are created. You can delete them sooner at any time with the Clear button. Removing the extension deletes everything it stored.
Your choices
- Disconnect the extension from your account. In Pen8, open your connected apps and disconnect "Meeting Translator". Our server stops accepting the extension's session at its next check, within a few minutes.
- Delete your account. Your account is a Pen8 account and is deleted there. Nothing about it remains on our server once its sessions have lapsed.
- Sign out. Options page → "Sign out". This ends the session in this browser and clears the token stored here. It does not disconnect the extension from your Pen8 account - see above for that.
- Turn off Instant lookup. Options page → "Instant lookup". Clearing both checkboxes stops all page reading immediately, on pages that are already open as well as new ones.

Password recovery
Passwords belong to Pen8. Use Pen8's own password recovery; the extension has no password to reset.
Recording consent
Laws in many places require that everyone in a conversation is informed before it is recorded or transcribed. You are responsible for obtaining any consent required where you are. The extension shows Chrome's standard tab-capture indicator while it is running.
Children
The extension is not directed at children under 13 and we do not knowingly collect their data.
Changes
Material changes will be reflected in the "Last updated" date above and in the extension's listing. Continued use after a change means you accept the updated policy.
